How do I organize PDF files on Android?

Gather every PDF into one list first, rename the vaguely named ones, move the keepers into three or four folders named for what the documents are for, and star the handful you open every week. The gathering step matters because a phone's PDFs are rarely in one place: each app that fetched one decided where it went. Which folders those usually are is covered on our page about where documents are stored; this one is about putting them in order.
Know the two big sources
Your browser. Chrome's Android help says a downloaded file "will be saved in your default download location",
and its Downloads list (More › Downloads) can do more than open things: "To rename a file, tap More Rename"
(Download a file, Google Chrome Help, read 15 October 2026).
A bank statement saved as document(7).pdf is the moment to use it.
WhatsApp. Its help says that on Android "media files are automatically saved in your WhatsApp/Media folder". That article names the hidden voice-notes folder but no folder for documents; it is silent on where a received PDF is kept. What it does describe is the in-chat route: tap the chat name, then Media, links, and docs, where "Files are organized by the date they were sent" (Finding media files, WhatsApp Help Center, read 15 October 2026). For a single document from one person, that view is often quicker than any file manager.
Pull them into one list
In Files by Google, start from the search bar. Google's help says you can type a name, and "You can also filter by file type and/or date." Where Smart Search has reached your phone, it also matches "Text from images and .pdf", scanning on the device; with it off, "you can only use text from file names to search for files" (Search for a file, Files by Google Help, read 15 October 2026). A category list can then be re-ordered from More › Sort by "by File name, Date, or Size" (View your files, Files by Google Help, read 15 October 2026). Sorting by size is a quick way to spot the scanned 40-page PDFs worth deciding about first.
Make a few folders and move the keepers
Files by Google creates a folder as part of a move. Select the PDFs, tap More › Move to, pick a place, tap Add new folder, "Enter folder name in the pop-up", then Move to folder (Move files to a new folder in Internal storage, Files by Google Help, read 15 October 2026). Later batches go into the folder that now exists: More › Move to, "Tap Internal storage", open the folder, then Move here (Move files to an existing folder in Internal storage, Files by Google Help, read 15 October 2026). On a Galaxy phone, My Files has its own steps, which the moving page walks through.
Which folders is our suggestion, not Google's. Name them for what the papers are for, not where they came from: one for identity
and certificates, one for bills and statements, one for tickets and bookings, one for work. Four that you use beat fifteen that you
forget. Renaming files with the year and month first, such as 2026-10 electricity.pdf, makes a name sort read as a
timeline.
Star the ones you reopen
Some PDFs you open every week: a timetable, a policy number, a prescription. Files by Google calls its answer Starred: "To easily access frequently used files, you can mark them as Starred", via More › Add to Starred, and they then appear under Collections › Starred. One catch Google spells out: "If you uninstall and reinstall the app, you need to mark your files as Starred again" (Manage your Starred files, Files by Google Help, read 15 October 2026).
Keeping new PDFs in order with Adinand Auto File Sorter
The folders above stay tidy only while you keep filing into them. The app can take over the first split. It decides by file
extension alone, so every .pdf goes to its Documents category along with Word, PowerPoint, Excel and
.txt files, inside one central output folder: Downloads › Sorted Files unless you choose another in
Settings (choosing needs Android 11 or newer). It never reads what is inside a PDF to sort it, so a statement and a takeaway menu
land together. A Pro custom rule can separate them by name: a "Name contains" keyword such as statement sends matching
files to a folder you name, created inside that output folder.
The limits are worth reading first. Out of the box it sorts only files sitting directly in Downloads, never the folders you made inside it. Watching WhatsApp Documents or another folder is a Pro feature that needs Android 11 or newer, and a PDF moved from there no longer sits next to WhatsApp. Sorting never deletes anything, and the most recent sort can be undone for free.
